How To Generate Staff ID Cards

This guide explains how to generate staff ID cards from the Generate Staff ID Cards workspace.

Best for

School administrators and HR staff who need printable cards for teachers, office staff, or other employees.

Requires

An active staff template, a target role, and staff records that are ready for printing.

Result

You generate printable staff ID cards for the selected staff members and can move into print review or production.

Before you start

  • Create at least one active staff ID-card template first.
  • Confirm the role you want to process.
  • Make sure the staff records are complete enough for printing.
  • Check that the user running generation is allowed to work with staff identity data.

Important: the generation workspace depends on staff data already existing in the system. If no staff members match the selected role, the list stays empty and the Generate button remains unavailable.

Certificates -> Generate Staff ID Cards

Step 1: Open the generation workspace

Go to Certificates in the sidebar and choose Generate Staff ID Cards.

In the current local environment, no staff records are returned for the available roles, so the empty state is visible right away.

Step 2: Choose the role

Pick the target Role first.

What to expect:

  • the list of staff updates after the role filter is applied
  • changing the role can reset the visible result set
  • the workspace stays focused on one staff group at a time

This step matters because staff cards are usually generated by role or department in batches.

Step 3: Select the staff ID-card template

Use the ID Card Template dropdown to choose the active template you created earlier.

If the template list is empty:

  • verify that a staff template exists
  • confirm that the template is active
  • return to the template workspace and create one if needed

The template controls the staff-card layout, branding, and field visibility.

Step 4: Search and select staff members

Use the search field to find staff members by name or role details, then select the staff you want to include.

The list area should let you review the staff before generation. In the current local dataset, no rows appear, so the page shows No Staff Found until matching records exist.

Step 5: Generate the cards

After role, template, and staff selection are ready, click Generate ID Cards.

The workspace then moves into the printable generation flow so you can review the output before final printing.

Verify the result

Use this checklist after generation:

  • the correct role was selected
  • the template matches the intended card design
  • the selected staff members are the ones you intended to print
  • the output is ready for review or printing

Expected result: the selected staff members are prepared as printable ID cards using the active template and the chosen role filter.
