How To Manage Phone Call Log

This guide shows how to use the Phone Call Log workspace inside Front Office.

Phone call logs keep incoming and outgoing calls visible for reception and follow-up work. The workspace separates call filters from the call drawer so staff can track who called, when they called, and what action is required next.

Before you start

  • Decide whether the call is incoming or outgoing.
  • Prepare the contact number before opening the drawer.
  • Decide if a follow-up date should be added with the call note.
  • Front Office -> Phone Call Log

Step 1: Open the Phone Call Log workspace

Go to Front Office and select Phone Call Log.

Use this page to:

  • review recent call history
  • filter by caller name, contact number, call type, and date
  • open a row for edit or delete

Step 2: Create or update a call log

Click Add Call Log to open the drawer.

Complete the main fields:

  • Call Type
  • Name
  • Contact
  • Date
  • Call Duration
  • Follow-up Date
  • Description
  • Note

The drawer defaults to Incoming. Change the radio button to Outgoing when the call was made by school staff.

Step 3: Review the saved call log

After saving:

  1. Return to the list view.
  2. Use the filters to find the call again.
  3. Confirm the call type, contact, and follow-up details are correct.
  4. Open the row again if you need to edit or delete it.

Important notes

Important: The Phone Call Log is a follow-up record, not just a contact list. Keep the description and follow-up date aligned with the next action.

Verification checklist

  • The call uses the correct incoming or outgoing type.
  • The contact number is stored correctly.
  • The saved row appears in the Phone Call Log table.

Expected result: call records are stored in Front Office and are ready for follow-up.
